Refund Policy
This Refund Policy explains how Artiva New Works handles cancellations, rescheduling requests, service credits, and refund eligibility for individual sessions, group masterclasses, wellness programs, and related bookings.
General Refund Policy
Because our services are time-based, schedule-based, and often capacity-limited, refunds are not automatically available for every booking. Refund eligibility depends on the type of service, the timing of the cancellation request, and whether service time, preparation time, or reserved capacity has already been committed.
- Completed services are generally non-refundable.
- Confirmed bookings may be eligible for rescheduling or service credit rather than cash refund.
- Any exception granted by Artiva New Works is made on a case-by-case basis.
- Where a separate written agreement applies, that agreement will control for the relevant service.
Individual Sessions
Private or one-to-one sessions reserve dedicated time specifically for the scheduled participant. For that reason, refund eligibility for individual sessions may be limited once a booking has been confirmed.
Before Delivery
If a cancellation request is made with reasonable advance notice, we may offer a reschedule, credit, or partial refund where appropriate.
After Delivery
Once a session has taken place in full or in part, the session is generally treated as completed and non-refundable.
Prepaid Packages
Unused future sessions in a package may be reviewed individually, but completed or used portions are generally non-refundable.
Reserved Time
Where preparation or reserved scheduling time has already been committed, a full refund may not be available.
Group Masterclasses
Group masterclasses and shared events are often planned around limited attendance capacity, event logistics, and facilitator preparation. As a result, refunds for group registrations may be more restricted than for other services.
- Reserved seats may become non-refundable once the event date is approaching or once event preparation is underway.
- If space is limited, a cancellation may result in a credit rather than a refund.
- Failure to attend a booked group event is typically treated as a missed reservation.
- Recorded materials, downloadable resources, or already-delivered event access may reduce refund eligibility.
Stress Relief and Wellness Programs
Refund handling for stress relief offerings, guided wellness experiences, and multi-part programs depends on whether the program has started, whether access has been provided, and how much of the offering has already been delivered or reserved.
- Programs already started may only be eligible for partial credit or partial refund, if any.
- Access to materials, resources, or scheduled support may affect refund eligibility.
- Multi-session or recurring programs may be reviewed based on the unused portion only.
Cancellations and Rescheduling
We encourage clients to notify us as early as possible if they need to cancel or request a new date. Earlier notice gives us the best chance to offer flexibility.
- Rescheduling is subject to availability and is not guaranteed.
- Late cancellation requests may not qualify for a full refund.
- Where appropriate, Artiva New Works may issue service credit instead of a monetary refund.
- Repeated cancellation patterns may limit future flexibility or booking eligibility.
Missed Sessions and Late Arrivals
If a participant does not attend a scheduled service or arrives late enough to materially reduce the service window, the booking may be treated as used.
- Missed appointments are generally non-refundable.
- Late arrivals may result in a shortened session without price adjustment.
- If timing constraints prevent the session from being completed as scheduled, refund eligibility may be reduced or unavailable.
If Artiva New Works Cancels
If we are unable to provide a confirmed service due to scheduling conflicts, operational issues, facilitator unavailability, or other reasonable circumstances on our side, we will make good-faith efforts to offer one of the following:
- A rescheduled date or replacement session,
- A service credit for future use, or
- A refund for the affected portion of the booking, where appropriate.
Refund Processing
Approved refunds are typically returned through the original payment channel when reasonably possible. Processing times can vary depending on the payment provider, banking institution, platform rules, and the nature of the original transaction.
Transaction fees, non-refundable platform charges, or already-consumed portions of service may be deducted where applicable and where permitted.
Exceptions and Special Cases
We understand that unusual circumstances can arise. Artiva New Works may, in its discretion, review special situations individually, including documented emergencies, operational disruptions, or other compelling reasons.
Any exception, waiver, or courtesy adjustment made in one case does not create an ongoing obligation to provide the same outcome in other cases.
